Dematerialization <\/a><\/strong>is the replacement <\/strong>in a company or organization <\/strong>of its physical information<\/strong> media by computer files and computers<\/strong>. Dematerializing<\/strong> a document <\/a>means producing<\/strong> it directly in digital<\/strong> <\/a>format from an information <\/strong>system. Dematerialization <\/a><\/strong>implies an in-depth reorganization<\/strong> of the process for handling a flow of documents<\/a><\/strong>. These documents <\/strong>can be tasks, tools <\/strong>or procedures<\/strong>.<\/p>\n\n\n\n

Since the 2000s, dematerialization <\/strong>has become the norm<\/strong>. For a long time<\/strong>, paper was the only information <\/strong>system available to companies<\/strong>. Today, it has finally<\/strong> been replaced <\/strong>by electronic <\/a>documents<\/a><\/strong>.<\/p>\n\n\n\n

Dematerialization <\/a><\/strong>concerns both public administrations<\/strong> and private companies<\/strong>. All departments <\/strong>of a company<\/strong> can be involved<\/strong>: human resources<\/strong>, IT, purchasing<\/strong>, legal, etc.<\/p>\n\n\n\n

How does dematerialization work?<\/h2>\n\n\n\n

To go paperless<\/strong>, you first need to digitize <\/strong>any documents <\/a><\/strong>that still exist in paper <\/strong>format. To do this, you need either a scanner <\/strong>or optical <\/strong>character recognition <\/strong>software. This eliminates <\/strong>the need to enter <\/strong>all documents <\/a>manually<\/strong>.<\/p>\n\n\n\n

Dematerializing <\/strong>a document means producing <\/strong>it directly in digital <\/a>format <\/strong>from an information system. The dematerialization <\/a><\/strong>of invoices<\/strong>, for example, has become mandatory<\/strong>. As of January 1, 2020, companies are required<\/strong> to send their invoices <\/strong>to the public sector<\/strong> in electronic <\/a>format<\/strong>. The French Finance Act for 2020 introduced <\/strong>the obligation of electronic <\/a><\/strong>invoicing. Exchanges<\/strong> between VAT-registered companies established <\/strong>in France are covered <\/strong>by this law.<\/p>\n\n\n\n

Dematerialization <\/a><\/strong>must be accompanied <\/strong>by a document management<\/strong> tool. Electronic <\/strong>Document Management (EDM). This software <\/strong>facilitates the management <\/strong>of document<\/strong> <\/a>flows within a company<\/strong>. It enables the smooth exchange <\/strong>of information<\/strong>. It lets you manage<\/strong>, store and even <\/strong>modify documents.<\/p>\n\n\n\n

Electronic <\/a><\/strong>document management <\/strong>must therefore be accompanied <\/strong>by an Electronic <\/a>Document <\/strong>Archiving System (EDAS). For documents <\/a>requiring <\/strong>a signature, the electronic <\/strong>signature is the solution<\/strong>. Electronic signatures enable <\/strong>you to invite people to sign documents <\/strong>securely online. Signed documents <\/a><\/strong>then have real legal value.<\/p>\n\n\n\n

To achieve <\/strong>this, we strongly recommend <\/strong>the use of electronic <\/a><\/strong>means such as software <\/strong>and\/or hardware<\/strong>. In particular, it is possible <\/strong>to use a third-party archiver <\/strong>to carry out all the operations <\/strong>associated with these documents<\/a><\/strong>, i.e. :<\/p>\n\n\n\n
